Our assets include both community and operating assets in the following four categories:
Community assets
These assets are the State’s archival collection. The physical collection was valued at $299.9m. The digital collection is valued at $16.7m.
Building assets
Records repositories for storage of the State Archives and the State Government’s non-current records are located at North Melbourne and Ballarat. The Victorian Archives Centre in North Melbourne, including land, is valued at $88.3m.
Motor vehicles
PROV operates one vehicle: a station wagon.
Plant and operating equipment
Operating assets are used for the upkeep of the physical and digital repositories so that public records can be stored safely and made available for public inspection. |

The 'Historic Plans Collection' was gathered together by the Lands Department as a collation of important early survey work done in Victoria. The plans are organised into 48 collections based on their purpose - road surveys, surveys of the coast and rivers, mining locations and so on. This dataset contains all the metadata that we have about the plans, including title, date, and frequently notes on scale, features and the surveyor responsible.
The data includes names of parishes and townships each plan covers. This information can be geocoded using data maintained on data.vic.gov.au by the Department of Primary Industries. |

Public Record Office Victoria is the archives of the State Government of Victoria.
The Collection includes memories of events and decisions great and small that have shaped the history of the Colony and State of Victoria, as well as records of immigration and shipping, criminal trials and prisons, premiers and governors, royal commissions, boards of inquiry, wills and probates and more.
‘Holdings’ refers to the totality of archival records (regardless of format) in the custody or under the control of the Archives. It does not include temporary records.
'Disposal’ relates to the quantity of archival records de-accessioned during the reporting period. This does not include destruction of time-expired temporary records or transfer of records to other Archives
An ‘item’ is a single record keeping unit, which exists as a discrete entity. Among other things, an item might be:
- A group of pages fastened together to form a file
- A single volume, card, map, plan, photograph, film, sound recording, computer tape or other document.

Public Record Office Victoria has an ongoing focus on energy efficiency and the reduction of waste, water and paper use. Broadly our aims are to:
• Maintain a reduced carbon footprint at the VAC.
• Maintain a reduced ecological footprint around our office based activities.
• Continue to support the sustainable management and use of government records.
During the year we progressed several major facility projects that delivered immediate energy efficiencies to the Victorian Archives Centre:
• We installed our fourth new chiller unit as part of our multi-year chiller replacement program. These new chiller units are extremely energy efficient.
• We upgraded our entire external lighting system to use energy efficient LED lights.
• We installed a new second boiler. We have three boilers in total, with the final unit scheduled to be replaced during 2016-17. These boilers use gas and we have already seen a reduction in gas consumption with the introduction of the first two new boilers.
We will investigate the possibility of installing solar panels in 2016-17 as part of our ongoing commitment to reducing our carbon footprint and further increasing our energy efficiency at the Victorian Archives Centre.

Public Record Office Victoria operates two public
reading rooms; one at the Victorian Archives Centre
in North Melbourne and the other at the Ballarat
Archives Centre in Ballarat. Records can also be
accessed at the Bendigo Regional Archives Centre
and Geelong Heritage Centre Reading Rooms, both
of which are Places of Deposit.
During 2014–2015, 15,542 visitors utilised the
Reading Rooms to view records. 48,949 records
were issued to visitors and another 11,942 were
issued to Government Agencies and for internal
Public Record Office Victoria use.
Our Reading Room staff delivered a number of
information sessions to the public on how to
use the Public Record Office Victoria collection
and sessions focusing on specific areas of the
collection.
In 2014–2015 our online enquiry system was
launched to manage incoming reference queries.
Over a twelve-month period, the system dealt
with on average 759 queries per month; providing
a more consistent and seamless approach to
customer service. |

Each year, up to 15,000 visitors attend the PROV reading room(s) to view original Victorian State Government historical records held within our collection.
As 99% of our collection is in original hard copy format, a researcher must either order a record and request a remote photocopy or digital copy order or attend the reading room to view and make their own copies of the original record.
PROV does not provide a research service for researchers who are unable to attend the reading room. A researcher must either engage a search agent or ask a friend or family member to attend on their behalf to view the original record. |

These assets are the State’s archival collection. The
collection was re-valued in 2012 - 2013 at $258.3m.
Building assets
Records repositories for storage of the State
Archives and the State Government’s non-current
records are located at North Melbourne and
Ballarat. The Victorian Archives Centre in North
Melbourne, including land, was valued in 2012
-2013 and is now valued at $59.9m.
Motor vehicles
Public Record Office Victoria operates two vehicles:
a sedan and a station wagon.
Plant and operating equipment
Operating assets are used for the upkeep of the
physical and digital repositories so public records
can be stored safely and made available for public
inspection.

During 2015 - 2016, 56,674 visitors utilised the reading rooms to view records. 44,862 records were issued to visitors and an additional 11,459 were issued to Government Agencies and for internal Public Record Office Victoria use.
In 2015 – 2016 reference queries were managed through our online enquiry system which received an average 744 queries per month; providing a more consistent and seamless approach to customer service.

The history of those sentenced to custody in Melbourne-area prisons, including Pentridge, the Collingwood Stockade and the prison hulks, was detailed in 'central' registers of male and female prisoners. The prison registers list crimes and sentences, frequently include photographs of the prisoner and record notes on their time in custody. Well-known figures such as Ned Kelly and Squizzy Taylor are recorded in these volumes. These registers have been digitised and indexes to the prisoners are being compiled by PROV volunteers. The data indexed from the male registers (VPRS 515) includes the prisoner name and number and a reference to the digital image available on PROV's website. |

The Collection includes memories of events and decisions great and small that have shaped the history of the Colony and State of Victoria, as well as records of immigration and shipping, criminal trials and prisons, premiers and governors, royal commissions, boards of inquiry, wills and probates and more.
‘Holdings’ refers to the totality of archival records (regardless of format) in the custody or under the control of the Archives. It does not include temporary records.
'Disposal’ relates to the quantity of archival records de-accessioned during the reporting period. This does not include destruction of time-expired temporary records or transfer of records to other Archives
An ‘item’ is a single record keeping unit, which exists as a discrete entity. Among other things, an item might be: - A group of pages fastened together to form a file - A single volume, card, map, plan, photograph, film, sound recording, computer tape or other document.

Each year, up to 15,000 visitors attend the PROV reading room(s) to view original Victorian State Government historical records held within our collection.
As 99% of our collection is in original hard copy format, a researcher must either order a record and request a remote photocopy or digital copy order or attend the reading room to view and make their own copies of the original record.
PROV does not provide a research service for researchers who are unable to attend the reading room. A researcher must either engage a search agent or ask a friend or family member to attend on their behalf to view the original record. |

This collection includes approximately 33000 registered mineral specimens representing the range of minerals found in South Australia. More than 1500 species are represented, providing good coverage of the species and localities from across South Australia. The museum holds significant collections such as the Francis Collection, a comprehensive collection of the minerals of the Precambrian iron formations of the Middleback Ranges, quartz crystals from Mount Lofty Ranges White Rock Quarry, the Hall and Dunstan Collections, including secondary minerals of Broken Hill, and the O’Neill Collection, representing the Olympic Dam copper-gold-uranium deposit. The collection includes specimens from historically significant copper mines in Burra, Moonta and Wallaroo, and from South Australian opal fields. The data includes information about mineral species, varieties, localities from which specimens were collected and information about their acquisition.
The South Australian Museum manages this dataset using the KE EMu collection management system. The full dataset is published on data.sa.gov.au as a .csv file. |

Over 70,000 specimens have been registered in this collection, which has a particular emphasis on South Australian and arid zone fauna. A second major regional focus is Melanesia, especially the island of New Guinea (Papua New Guinea and Papua Province, Indonesia), with some 6,000 registered specimens. Most material is formalin-fixed and stored in 70% alcohol, with tadpoles stored in formalin. There is a significant dry skeletal collection of over 1,500 specimens, mostly skulls, and this will continue to be expanded. Since 1980, the great majority of specimens acquired (approx. 40,000) have had tissue samples (mostly liver) taken for genetic and biochemical research. These are held in the S.A. Museum's Australian Biological Tissue Collection. All specimens are individually registered and the data entered on a collections management system. All specimens are stored on-site in the S.A. Museum Science Centre alcohol storage facilities.
The SA Museum manages this dataset using the KE EMu collection management system. It is interpreted into the [Darwin Core](http://rs.tdwg.org/dwc/index.htm) metadata schema (DwC) and semi-regularly exported to the [Atlas of Living Australia](http://www.ala.org.au/) (ALA) and the [Online Zoological Collections of Australian Museums](http://www.ozcam.org.au/) (OZCAM).
Data sourced from Australian museums on both the ALA and OZCAM should be identical, but on ALA they are combined with observational data from citizen science initiatives and other sources. Both of those sites make it possible to combine, interrogate and analyse data through web services such as the [Spatial Analysis Portal](http://spatial.ala.org.au/). In the Spatial Portal ALA data can be combined with meteorological and other environmental data sourced from and made accessible by relevant government agencies.
The ALA also has a fully documented [API](http://api.ala.org.au/)
Data about endangered species are either withheld from online publication, or coordinates or other data are obscured on the ALA and OZCAM. In those circumstances more specific information is available directly from SA Museum collection managers if it is genuinely required for research purposes.
SA Museum data can be downloaded in full from the Atlas of Living Australia, or broken down into discipline specific parts (e.g. Herpetology, Mammalogy etc). On download the ALA will request an email address (not mandatory) and a reason for download (mandatory) – this is required to track usage of the ALA data to help data providers determine priorities for upload and improvement.
